For Scientific Session Speakers: If you are speaking at a Scientific Session at the 71st AACC Annual Scientific Meeting, you must arrange your air travel through AACC's official travel agent, Globetrotters. No exceptions will be made.

You may contact Globetrotters at 1-888-466-2967 ext. 1 or aacc@globetrottermgmt.com.

Please tell the agent that you are a speaker for the 71st AACC Annual Scientific Meeting. Your travel costs will then be billed directly to AACC. AACC will cover the lowest available coach round-trip fare between your home city and Anaheim, CA, and therefore may not be able to accommodate requests for travel on specific airlines if there are similar flights with lower cost on another airline.

Speakers who wish to drive to the meeting will be reimbursed at the prevailing rate of reimbursement determined by the Internal Revenue Service, as long as the cost does not exceed the cost of a round-trip airfare available 21 days prior to the meeting from your home to Anaheim, CA.

All Scientific Session speakers, except Plenary speakers, are responsible for their own hotel arrangements. You may visit AACC's housing website to secure housing.

AACC will make hotel arrangements for all Plenary speakers.

For Roundtable Speakers: If you are only presenting a Roundtable (formerly Brown Bag), you are responsible for your own housing and air travel and therefore should not book your travel through Globetrotters. Additionally, please be aware that you are registered for your session only. If you wish to attend other events at the meeting, you may register here.

For all speakers, please arrive the day prior to your session so there is no concern about missed flights, bad weather, etc.

Per Diem

Scientific Session speakers (this includes AACC University speakers) will receive a $323 per diem, which is meant to cover hotel, meals, ground transportation, and any other expenses incurred while attending the meeting.

Scientific Session (1.5 hour or 2.5 hour) Speakers:

Will receive per diem for 2 days (the day before and the day of your session).

  • If you present on two consecutive days, you are eligible for 1 additional day of per diem.
  • If you present at multiple non-consecutive sessions (e.g. on August 5 and August 7), you are eligible for 2 additional days of per diem.

AACC University (full day or half day) Speakers:

Will receive per diem for 3 days.

  • If you present more than once, and 2 or more days apart (e.g. on Sunday and Tuesday), you are eligible for 2 additional days of per diem.

Roundtable Session Speakers:

Roundtable (formerly Brown Bag) speakers receive $50, but otherwise do not receive travel reimbursement or per diem compensation.

Where to pick up your payment: Per diem checks will be distributed on-site in the Speaker Ready Room (304B) in the Anaheim Convention Center. These checks are considered taxable income, and if AACC pays you more than $600 in total for the year, you will receive a 1099-MISC form.

Roundtable speaker fees will be distributed outside Ballroom DE prior to your session.

Individuals not eligible for payment: Scientific session moderators and participants in AACC’s Disruptive Technology Award session do not receive travel reimbursement or per diem compensation.

As a reminder, if you are a government employee, you are also not eligible for payment.

Uploading Handouts and Presentations


Moderators and Roundtable speakers must upload handouts to the Speaker Service Center by July 8.

Moderators must collect and compile all speakers’ electronic handouts into a single PDF file that is in PowerPoint 3-up format. Roundtable speakers must also submit their handouts in this format.

The file name should be uploaded in the format: AACC session number, moderator last name. Example: 190001, Smith.


The Presentation Management Website will open on July 8. Speakers must then submit PowerPoint presentations by July 19. Scientific Session speakers must submit PowerPoint presentations to Presentation Management for their presentations to appear in their session room.

If you do not submit your presentation in advance, you are asked to bring it to the on-site Speaker Ready Room (304B) at the Anaheim Convention Center no later than 4 hours prior to presentation time.

Additionally, to ensure presentation quality, including consistency with fonts, bullets, outlines, animations, etc., all presenters are asked to submit final presentation revisions no later than 4 hours prior to presentation time.
